This Privacy Policy describes how Encore Services, LLC ("Encore," "we," "us") collects, uses, and protects information in connection with the Encore Contract Writing Suite (ECWS).

1. Information We Collect

We collect information you provide when requesting a demo or contacting us (name, email, agency, role), as well as usage data when you access the platform (login events, feature usage, audit log entries).

2. How We Use Information

Information is used to operate and improve the platform, respond to inquiries, provide customer support, and comply with legal obligations. We do not sell, rent, or broker customer data to third parties.

3. Federal Data Handling

Procurement data processed through ECWS is treated as sensitive federal information. All data is encrypted at rest and in transit. Access is restricted to authorized personnel under role-based access controls. Encore does not use federal procurement data for any purpose outside of providing the contracted service.

4. Audit Logs

ECWS maintains a cryptographic audit log of all AI outputs and human approvals. These logs are tamper-evident and retained for the duration of the contract. Customers may request a full export of their audit log at any time.

5. Data Retention

Customer data is retained for the duration of the active contract and for a period of 12 months following contract termination, unless a longer retention period is required by applicable federal records management requirements.

6. Your Rights

You may request access to, correction of, or deletion of your personal information by contacting us at the address below. Requests will be processed within 30 days.
